Friends of the Museum of Carpet Volunteer Roles

The Friends was established in 2000 to support the work of the Carpet Museum Trust in founding the Museum of Carpet which opened in October 2012. The Friends Committee is seeking to recruit a volunteer Treasurer and Membership Secretary to help continue this support. The Friends also operates a registered Lottery, ’The Carpet Sweep’ which is managed separately by the Committee.

There are currently 2 roles the Friends of the Museum are recruiting for:

The Treasurer has day-to-day responsibility for looking after the finances of the Friends. The role is to keep the accounts and to report to the Committee. The Friends Committee as a whole is responsible for deciding how funds will be raised and spent.

The Membership Secretary role is responsible for managing the membership records, processing membership renewals and processing new memberships.

We envisage that the roles will involve 1/2 day work per week, with more time during the annual membership renewal period which can be worked flexibly. Roles can possibly be shared or combined.

Treasurer responsibilities

Bank accounts

  • Regularly check both the main account and the Carpet Sweep account in conjunction with the Carpet Sweep treasurer.
  • Arrange payments of bills/invoices by cheque or debit card.
  • Arrange changes to mandates when necessary.

Reports

  • Prepare up-to- date reports on finances for committee meetings.
  • At the beginning of April, prepare the annual Balance Sheet for the A.G.M and arrange for audit by appointed Auditor.

Membership responsibilities

  • Maintain and update the membership database and records, adhering to GDPR.
  • Process new membership applications – send welcome letters, issue membership numbers, process payments.
  • Send membership renewal letters, process renewals.
  • Assist the Friends Committee in the recruitment of new members at events.
  • Report regularly to the Friends Committee.
  • Send out newsletters and other membership information by email wherever possible and by snail mail to the few members without email.
  • Send items for the Friends page on the Museum website, including promoting events, Carpet Sweep results and any other news.

Skills:

  • Numeracy and IT skills – Excel, Word.
  • Knowledge of basic bookkeeping
  • Good verbal and written communication skills.
  • Well organised.
